Understand the pricing model
A hire fee pays for use of a specified space during agreed hours. Check whether setup, clearing away, furniture, staff and equipment are included.
A minimum spend is an agreed threshold for qualifying purchases, often food and drink. Ask what counts towards it, whether room hire is additional and how any shortfall is charged. Spending £2,500 against a £3,000 minimum does not necessarily produce a £2,500 bill.
A per-person package depends on the confirmed headcount and what the package includes. Ask about minimum guest numbers and the deadline for confirming attendance.
An advance payment is a payment towards the booking, not another pricing model. A refundable damage deposit is different: it is security against specified damage or other agreed deductions and may need to be budgeted separately.
Compare the whole quote
Ask for an itemised total covering the space, food and drink, staffing, equipment, cleaning and any mandatory charges. Confirm whether quoted figures include VAT and whether service charge is mandatory or discretionary.
For illustration only: a £3,000 minimum spend plus a mandatory 12.5% service charge calculated on that amount totals £3,375, assuming no further tax or charges. If £750 is paid in advance and credited towards that total, £2,625 remains. These are example figures, not a Ventir venue offer.
Put the amount due now, the later balance and any refundable security deposit on separate lines. Do not add an advance payment to the total twice.
Check the exact room and layout
“Up to 200 guests” does not tell you whether 200 people can sit down to dinner. Ask for the capacity of the specific room in your proposed layout, including space for catering, a dance floor or a stage.
Confirm what exclusive hire covers. A private room can be exclusive while entrances, toilets or a terrace remain shared. Ask for a floor plan and photographs of the space you will actually receive.
Check practical access and restrictions
Confirm transport, parking or drop-off arrangements, setup time, end time and overrun charges. Ask about external catering, kitchen use, sound limits and decoration rules where relevant.
For accessibility, ask specific questions about the route from arrival to the booked room, thresholds, lifts and toilets. A missing listing field does not mean a facility is unavailable; obtain confirmation of anything essential to your guests.
Read cancellation terms before paying
Check cancellation, postponement, venue-cancellation and refund arrangements in the actual offer. Do not assume every advance payment is automatically non-refundable. For consumer contracts, a term must be fair; simply labelling a payment non-refundable does not settle the question. See the CMA’s guidance on cancelling goods or services.
Keep the accepted quote and applicable terms. If booking through Ventir, read the terms presented for that booking rather than relying on a general guide or a later version of the listing.

Frequently asked questions
Is minimum spend the same as room hire? No. Minimum spend usually relates to qualifying purchases; a separate hire fee may still apply. Ask the venue to explain both.
Does exclusive hire mean the whole building? Not necessarily. The agreement should identify the spaces reserved for you and any shared areas.
Can I compare prices without a date? You can explore options, but a meaningful quote needs the date or date range, event duration, layout and expected attendance.
Is South East London always cheaper? No. Compare actual like-for-like quotes rather than assuming a postcode guarantees better value.
